Executive Administrative Assistant

JOB SUMMARY

The Executive Assistant will be responsible for supporting the C-suite and corporate office. To be successful in this role, you should be well-organized, proactive, communicate effectively, able to manage multiple projects, possess excellent time management skills, and be able to make sound business decisions when required. Ultimately, this role will act as a representative for the executives and contribute to the efficiency of the business by providing personalized, timely, and efficient support to the executive team.

ESSENTIAL JOB FUNCTIONS

  • Provide administrative support to the executive team and corporate office
  • Coordinate and manage PowerPoint presentations
  • Assist with Excel spreadsheets / graphs / pivot tables
  • Manage calendars and set up meetings
  • Assist in arranging domestic and international travel
  • Process travel and expense reimbursements for executives
  • Coordinate signatures for documents and invoices
  • Maintain current organizational charts for US and Global operations
  • Quarterly Board Meeting planning
  • Meeting & event planning
  • Format information for internal and external communication – memos, emails, announcements, and reports
  • Performs office tasks, distributing mail, including ordering supplies, maintaining records, and reporting and bookkeeping
  • Performs additional duties and projects as assigned by executives
  • Performs other related duties as assigned

SKILLS & ABILITIES

  • Advanced Microsoft Office skills, particularly PowerPoint, Outlook, and Excel
  • Experience planning meetings, events and both domestic and global travel
  • Ability to anticipate needs and proactively provide necessary support
  • Ability to work under pressure and motivation to succeed in a competitive environment
  • Strong time management and multitasking skills with the ability to prioritize tasks
  • Ability to communicate and partner effectively across all levels
  • Excellent verbal and written communication skills

  • Ability to manage multiple, and at times quickly changing priorities
  • Analytic skills a plus
  • Ability to learn new systems, processes, and projects
  • A positive, can-do attitude

QUALIFICATIONS & EXPERIENCE

  • Minimum 5 years of experience as an Executive Assistant, preferably supporting C-level executives
